Purchasing Coordinator

Job Purpose

To support smooth workflow and excellent communication with Trade Partners, Suppliers, and internal teams by completing day-to-day purchasing coordination and documentation, ensuring accurate purchase orders, timely confirmations, and proactive follow-through from pre-construction through settlement.

Key Responsibilities

                     Purchase jobs by creating, issuing, and distributing purchase orders as needed for assigned New Homes and/or Renovation projects, following established standards and timelines.

                     Ensure special order items are purchased, shipped, and arrive on time to meet construction schedules; follow up proactively to support schedule commitments.

                     Maintain Variance Purchase Orders (VPOs) and invoices from the purchasing inbox; process field variance requests (call-ins, extras, etc.) and invoices promptly, including researching, tracking, and reporting reasons for variances.

                     Support purchasing system and database maintenance as assigned (items/assemblies, price updates, vendor files, purchasing records).

                     Be familiar with using Brix, Autodesk Design & Review, as well as BuilderTrend software.

                     Maintain knowledge of construction materials and how they are used in the field.

                     Be able to read and understand blueprints as needed to support purchasing accuracy.

                     Coordinate with Estimating, Design, Drafting/Architecture, and Construction to ensure purchasing aligns with current plans, selections, and schedule.

                     Maintain professional, timely communication with internal stakeholders and external partners; represent Garman’s values.

                     Other duties may be assigned.

Accountability

                     Accurate, complete purchase orders with clear documentation and confirmation.

                     Trade Partner assignments/activity scheduling maintained within capacity constraints (Renovations).

                     Special order items released and tracked to avoid job delays; lead-time risks communicated early.

                     VPOs, invoices, and field variance requests processed promptly with documented reasons for variances.

                     Reliable data entry and system updates that support schedule reliability and financial reporting.

                     Communicate clearly and professionally with Trade Partners, Suppliers, and internal stakeholders.

                     Maintain organized records and accurate system updates to support schedule reliability and financial reporting.

                     Ask questions early; escalate risks before they impact schedule, margin, or customer experience.

                     Continuous learning of construction materials, scopes, and internal purchasing standards.

Authority

                     Issue purchase orders and communicate order status within defined standards after training and within delegated limits.

                     Coordinate directly with TPs/Suppliers for confirmations, delivery updates, and issue resolution within established workflows.

                     Coordinate scheduling/activity assignments for Renovation Trade Partners in BuilderTrend and escalate capacity conflicts or schedule risks as needed.

                     Escalate scope gaps, pricing disputes, schedule risks, and non-standard approvals to the Lead Purchaser and/or E&P Manager.

Relationships (Internal/External)

                     Lead Purchaser; E&P Manager; Estimator(s).

                     Construction (Project Managers/Superintendents), Warranty, Accounting.

                     Design Studio, Drafting/Architecture, Operations Support.

                     Trade Partners and suppliers.

                     Manufacturers and distributors (as needed for lead times/availability)

Qualifications & Requirements

                     High school diploma required; related degree preferred.

                     1–3 years of purchasing, construction coordination, or administrative experience (residential preferred).

                     Proficient in Microsoft Office; able to learn Brix, BuilderTrend, and Autodesk.

                     Ability to read construction documents and understand basic residential materials.

                     Strong organization, attention to detail, and accuracy in documentation.

                     Clear communicator who proactively identifies and escalates risks.

                     Demonstrates urgency, accountability, and alignment with company values.
